Organizations aimed to simplify daily task completion for employees through quick mobile actions. While setup remained desktop-based, clients strongly requested a mobile solution for these routine activities.
Motivation
Boost daily system engagement by creating a mobile version that simplifies employees’ everyday actions. Moving these activities to mobile, we wanted to transform passive users into engaged daily participants, making the system a natural part of their workday.
Discovery
Client demand for a mobile solution surfaced several crucial insights that shaped our approach.
/ Main persona
Employees and managers emerged as our key users, each with distinct needs and interactions.
/ Mobile vs Desktop
View & Add vs Setup: Mobile is the place for quick actions and viewing data, while desktop remains the hub for complex workflows and system settings.
/ Interaction Design Principle
Quick and frictionless actions drive our mobile experience. We focused on “low CPU brain tasks” – activities that should feel effortless, like clocking in, approving requests, or submitting time off.
Solution & Feature Priorities
We identified employees and managers as key users, each with their own daily needs. Employees needed fast access to tasks like clocking in and time away requests, while managers handled approvals and reviews.
Instead of replicating the desktop, we focused the mobile app on these frequent workflows, simplifying daily tasks while keeping complex setups on desktop.
/ People directory
View and search basic employee information.
/ Assigned tasks
Manage all pending tasks and approvals in one place.
/ One-tap time tracking
Simplified clock-in/out for daily attendance.
/ Home
Key info widgets with quick actions.
/ Quick time away booking
Making it easy to select dates and submit requests.
Book Vacation Flow:
Time Away Booking:
Balancing UX and Technical Constraints
The goal was to create an engaging, interactive time away booking experience that felt effortless for users. However, we faced a significant challenge balancing this ideal with the technical limitations of native Android and iOS components.
Our initial versions felt clunky to use, creating a heavy user experience. This pushed us to find a sweet spot between interactivity and simplicity.
Time Away Booking Experience:
Booking time off should be as effortless as booking a ride. We created a lightweight, fun flow that employees can complete during casual moments – while commuting or on a coffee break.
Home: Your Daily Hub
The home screen serves as a smart, modular dashboard where employees land when opening the app. Here, they find quick-action widgets for checking in and out of the office, booking time away, and viewing upcoming vacations.
Designed as a flexible container, the home screen can host different feature modules, making it easy for users to access key functionalities without deep navigation. This modular allows for seamless feature expansion in the future.
Assigned Tasks: Your Personal Action Center
A centralized space for all assignments – from vacation requests to performance reviews. Tasks can be handled immediately on mobile or saved for deeper desktop engagement later.
Looking Forward
Building this app was just the beginning of our mobile journey. Our focused approach worked well – solving specific problems rather than attempting to replicate the entire desktop experience.
/ Design for context:
Mobile interactions happen in different environments than desktop
/ Prioritize "low CPU" tasks
Make routine actions effortless
/ Start with core user needs
Time tracking and leave management formed our foundation
/ Balance tech with UX
Finding creative solutions within platform limitations
Since then
Part of the Routine
What started as a simple time-off feature became a core part of employees’ daily workflow.
Shaped by Real Use
Based on real usage, we expanded the app with new capabilities—and it continues to evolve over time.
Built to Scale
We designed for speed. People don’t want to manage HR—they just want to get things done, instantly.
